Flynn Group, operating over 2,900+ franchise units in 7 iconic brands (Applebee’s, Taco Bell, Panera, Arby’s, Pizza Hut, Wendy’s, and Planet Fitness) seeks a Legal Assistant. This is a unique opportunity to join a diverse, dynamic, and growing in-house legal department.

This position is based in our San Francisco, CA Support Center, with the opportunity to work remotely with manager approval after an initial probationary period.


Position Summary

Conveniently located in the heart of the Financial District, Flynn Group’s San Francisco Support Center is home to the company’s Legal Department, which directly handles Flynn’s own business, real estate, tort, and employment litigation and arbitration matters. Collaborating closely with Flynn’s in-house attorneys and Litigation Paralegals, the Legal Assistant will play an integral role in supporting the litigation and legal operations of the department as detailed below.

Responsibilities

  • Perform legal administrative tasks as may be assigned by attorneys or paralegals on the team in a timely manner.
  • Calculate and calendar case-related deadlines for litigation matters.
  • Schedule/calendar appointments such as depositions, production of documents, client meetings, trials, court hearings, and appearances.
  • Prepare responses to subpoenas and records requests.
  • Maintain databases for various projects.
  • Contact outside sources (courts, government agencies, etc.) to obtain public information.
  • Maintain and update legal files following Legal Department electronic filing system procedures.
  • Assist with administration of Legal Department’s e-billing and matter management software (Legal Tracker/Serengeti), including creation of new matters and reviewing and responding to outside counsel inquiries regarding same. Confidence in using and learning new technology platforms to increase legal department efficiencies is a must.
  • Review, sort, distribute, and file mail; answer telephones, record messages, and return calls as necessary.
  • Perform administrative functions, such as preparing check requests for vendor statements, expense reports, and other administrative tasks as needed.
  • Assist paralegals with opening new matters.


Required Skills/Experience

  • High school diploma required.  Associate’s or Bachelor’s degree or equivalent experience is preferred.
  • 3+ years of experience as a legal secretary/assistant, legal operations, or project assistant preferred.
  • Experience with Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams, Sharepoint) & Adobe Acrobat Professional.
  • Familiarity with e-mail scheduling tools in Microsoft Outlook and Teams.
  • Familiarity with billing applications (LegalTracker/Serengeti experience a plus).
  • Experience calculating litigation-related deadlines for calendaring purposes strongly preferred.
  • Excellent organizational skills, strong attention to detail, efficient and productive at managing multiple priorities.


The good faith estimated range of pay for the above position for California-based candidates is $50,000-$70,000 depending on factors including but not limited to experience and skill. There is a target discretionary incentive bonus of 10%.


Physical Requirements

  • Ability to walk, sit, and stand throughout the day.
  • Ability to see and read small and singled-spaced print.
  • Ability to hear and communicate in person, over the phone, and via videoconference platforms.
  • Ability to lift and carry up to 20 lbs. (e.g., office supplies/deliveries) and reach, bend, and twist.
  • Ability to push or pull up to 50 lbs. (e.g., cart with office supplies/deliveries/trial materials).
  • Ability to stoop, kneel, and crouch.
  • Ability to use a step stool.
