Job Description

The Procurement System Performance Admin - Ecotrak is responsible for ensuring optimal performance & use of the system and tactically supporting the day-to-day needs of the Procurement Team and the P2P system. This role includes, but is not limited to, providing excellent customer service, acting as the system administrator for Ecotrak, mining data, maintaining Procurement information database and supporting files, and supporting other department needs. To be successful in this role, the individual will be a dynamic, highly engaged, detailed, articulate, forward-thinking self-starter with natural customer service and problem-solving skills who is comfortable juggling a wide variety of projects while contributing to a vibrant and supportive team environment. 

 

CORE RESPONSIBILITIES:

Drive User Adoption:

  • Manage Ecotrak rollouts for Flynn sites being added to the platform.
  • Maintain and update training materials for Flynn users and service providers.
  • Provide training as needed for Flynn users and service providers.
  • Manage all Ecotrak related communications for all end users.
  • Ensure high-level of adoption across Flynn operations and facilities teams, as well as service providers.


Drive System Value:

  • Update troubleshooting guides to enable self-service of issues by operations.
  • Interpret complex information and thoughtfully expresses viewpoint, analysis or conclusions.
  • Identify and implement opportunities for system configuration or data changes that would enable Flynn to get more value from the system (cost or time savings).


Issue Mitigation:

  • Provide technical support to end users as needed.
  • Identify systemic issues, process breakdowns, and inefficiencies through discovery or feedback from end users and suppliers. Identify and implement solutions to resolve.
  • Review all system notes, test and validate prior to technical updates and cascade any process changes.
  • Proactively communicate risks and issues to key stakeholders and recommend mitigations.


Ensure accuracy of data:

  • Update data in Ecotrak including but not limited to: users, locations, service providers, preventative maintenance schedules, etc.
  • Monitor and drive accountability for data owned by operations/facilities/other stakeholders (asset information, trade assignments, surveys, etc.).
  • Identify and drive opportunities for automation of data updating processes.
  • Manage data governance processes to review and update documentation and data on a recurring basis (NTEs, approval limits, warranties, etc.). 
  • Keep thorough documentation of systems, configurations, and procedures.
  • Perform all other duties as assigned.


EXPERIENCE:

  • Highly proficient in Office 365 environment, experience with Ecotrak or similar facilities management software is a plus.
  • High school diploma or GED, bachelor’s degree preferred.
  • Four (4) years of industry experience in facilities or foodservice preferred.
